Thank you so much for choosing to stay with us at Coconut Court Beach Hotel. Listed below are the hotel policies and procedures, please read them carefully. By reading and signing your hotel registration card at check-in or by booking a reservation on our hotel website, you are agreeing to abide by all our hotel policies and procedures and accepting responsibility for the reservation. 

 

COVID-19 DISCLAIMER: The following indemnifying statement is part of all guests' reservation contract with Coconut Court Beach Hotel. I acknowledge that Covid-19 is a highly contagious disease and can result in serious illness, injury and death and I accept that there is an inherent risk of exposure to Covid-19 anywhere people are, or have been present. I further agree that I will release, indemnify and hold harmless Coconut Court Beach Hotel, and it's respective parent corporations, affiliates, subsidiaries, insurers, representatives, against any claims and/or damages whatsoever, including legal fees relating to any infection, transmission, health condition influenced, impacted or complicated by Covid-19 disease. 

 

COVID-19 HEALTH & SAFETY PROTOCOLS: For your safety and those around you, guests must abide by all Covid-19 health protocols, including physical distancing, hygiene practices, wearing of face masks and all other relevant measures. Our staff will be sanitizing and cleaning all areas of the hotel throughout the day. Please remport any Covid-19 symptoms to hotel management. Please see our Covid-19 protocols on this website (under the Rooms menu tab) for further details regarding hotel protocols and testing options. 

 

HOTEL OWNERSHIP: Coconut Court Beach Hotel is a private, independent, locally owned hotel and is not affiliated with any other hotel or hotel group. It has been family-owned and family-managed since 1975.  At Coconut Court Beach Hotel we strive to maintain consistently high service standards within beautiful, clean and safe surroundings. 

 

HOW TO MAKE A RESERVATION: Please make your reservation on this website, emailing us, calling our reservations office at +1 (246)-427-1655 or Whatsapp +1 (246)-231-0525. Our reservations office is open everyday between the hours of 8:30am-4:30pm. We work hard to answer every call however, if we miss your call please send us an email and someone will contact you within 24 hours. Questions regarding reservations can be addressed via email to: reservations@coconut-court.com 

 

ROOM RATES: All rates are per room, per night in US dollars and do not include 10% VAT tax or US$9.65 government room levy. Rates are for 1-2 person occupancy, with 1 child aged 12 years and under, free. Extra person fees apply for additional guests aged 13 years and older. *Please note that rates for Two Bedroom Apartments and Cottages are for 1-4 person occupancy, including children. Rates vary depending on the room category and season booked. Peak Winter season rates apply for stays between 15-December to 15-April and Summer rates apply for stays between 16-April to 31-October. Our Fall rates apply for stays from 01-November to 14-December. Staff gratuities are not included in our rates and tipping is at our guests' discretion. All rates are subject to change. Please note that there is a mandatory holiday supplement applied to all in-house guests on 31-December. Dinner, drinks, entertainment, and party favours are provided for all guests. Please note that there are no exceptions to the Holiday Supplement. 

 

OUR GUEST ROOMS: The images of our rooms and facilities on our website are for illustrative purposes only. Each part of Coconut Court Beach Hotel is slightly different and your room or the facilities you use during your stay may vary slightly from those images.  

 

GUEST REQUESTS: Coconut Court Beach Hotel will make every effort to honour special requests (such as a specific floor or room number etc.) upon arrival. However the availability of these items cannot be guaranteed in advance. Your reservation is for a particular type of room and, whilst we will try to accommodate specific room requests, unfortunately we cannot guarantee that you will be able to stay in a specific room during your stay. 

 

IMPORTANT TO REMEMBER: Coconut Court is not equipped with an elevator and all of our guest rooms are accessed by stairs only. As a result we cannot recommend our hotel for guests that require wheelchair assistance. Please request a low or high floor at time of booking based on your physical capabilities. We do not have bathtubs in any guest rooms. 

 

IMPORTANT TO REMEMBER: The One & Two Bedroom Apartments and Cottages are located on the landside of the hotel complex in our Annex, directly across the street from the main hotel buildings. These apartments and cottages do not have any views of the ocean. Please refer to the full amenities listed for each room type on this website.  These fully self-catering apartments are perfect for extended stays and guests staying in the Annex enjoy full use of hotel facilities including  swimming pool, beach access, free pool and beach lounges, 24 hour front desk and security  services. Please note that housekeeping service is provided twice weekly in the Annex Apartments. Weekly specials are available. 

 

DEPOSIT POLICY: Full payment is required for reservations of 3 nights or less. For reservations of 4 nights or more, an amount of 30% of the entire stay will be charged. Reservations are not guaranteed without a deposit. Deposits can be made via major credit cards (Visa, MasterCard or American Express). 

 

PAYMENT POLICY: All reservations must be paid in full, on or before arrival. Please note that the credit card used to make the booking and pay any deposits must be presented at the time of check-in with proof of ID (both photographic and signature). Coconut Court Beach Hotel accepts Visa, MasterCard and American Express.  Please note that all local transactions are completed in Barbados dollars. Charges to international credit cards will be done at the prevailing rate of exchange. 

 

NEED A RIDE? We offer safe, reliable airport pick-up and drop-off service. Our airport meet and greet service is US$32.50 (flights before 10pm), US$40 (flights after 10pm and public holidays). Return trips to the airport from the hotel are priced at US$25. Please contact us with your flight details at least 24 hours in advance of arrival. Rates are based on a maximum of 4 persons, with 1 suitcase and carry-on bag per person. Extra fees may apply for oversized items, or sporting equipment (US$5 per additional item). Coconut Court Beach Hotel is located on the south coast about 10 miles from Grantley Adams International Airport. Drive time, depending on traffic varies between 15 to 30 minutes. 

 

SEND A GIFT: To give an activity as a present to an arriving guest, or to send another type of gift to an arriving guest, such as a romantic dinner, flowers or wine, please contact our Reservations office team and we will be happy to make all of the arrangments for you. 

 

CHECK-IN: 4pm / CHECK-OUT: 11am: Check in is any time after 4pm. For early arrivial before 4pm, it is recommended to pre-book the room one day in advance with a full charge. Check out time is 11am. We may accommodate late check-out after 11am for an additional fee, subject to room availability. Guests that require a later check-out should contact the Front Desk by 9am on the day of departure, and we will do our best to accommodate your request. A complimentary hospitality suite is available for guests requiring shower and changing facilities after check-out. If your arrival will be later than 8pm, please let us know in advance so that we can plan your welcome. At check-in, a major credit card, photo passport ID and payment in full is required. Early and late check-ins are not guaranteed. Additional charges and taxes will be applicable. 

 

ADVANCED CHECK-IN: All guests are kindly requested to complete the Advanced Check-In form on the homepage of this website, prior to arrival. Please note that your passport number and payment method will be required to complete the check-in procedure upon arrival at the hotel. Registered guests please collect guest room key card(s) from the Front Desk also. Thank you very much for helping us to observe improved health and safety protocols.

 

GUEST INCIDENTAL & SECURITY DEPOSIT: Upon check-in, all guests are required to leave the equivalent of US$50 (BB$100) per night security deposit for incidental charges. There are no exceptions to this policy. The deposit may be placed in cash or with a credit card. Any unused portion of cash security deposit will be returned at time of check-out in Barbados dollars. For any security deposits made using credit card, pre-authorisation by the Hotel is required. A pre-authorisation is not a charge but a temporary hold on your credit card of a specified amount of your available credit limit. All credit cards are pre-authorised at check-in. Depending on the banking institution, this amount will be released after 5-7 business days after stay if no incidentals are posted. The Hotel cannot be held responsible for loss of use of these funds or any possible overdraft charges. Guests should contact their banking institution for full details on how these transactions operate, including pre-authorisations. Coconut Court is unable to remove any pre-authorisation directly through the hotel.  

 

MINIMUM AGE REQUIREMENT: A guest must be aged 18 years and older to occupy a guest room alone. A valid photo ID must be presented at the time of check in for age verification. Guests must be 18 years of age to consume alcohol at any of the dining and bar outlets at Coconut Court Beach Hotel. 

 

REGISTERED GUESTS POLICY: Please note that we only allow guests who are listed on the reservation access to the room. This policy is for the safety and security of all of our hotel guests. Should you wish to add any name(s), kindly inform the Front Desk in advance. 

 

MINIMUM LENGTH OF STAY RESTRICTIONS (Hotel Rooms): A two night minimum stay is required for stays until 31-October-2021. A three night minimum stay is required for stays between 01-November-2021 and 15-April-2022. A two night minimum is required for stays between 16-April-2022 to 31-October-2022. 

 

MINIMUM LENGTH OF STAY RESTRICTIONS (Annex Apartments & Cottages): A seven night minimum stay is required for all periods.  

 

CANCELLATION POLICY: All cancellations need to be in writing by emailing us at reservations@coconut-court.com. Please do not call the office for cancellations. Cancellation confirmations will only be sent via email and refunds via credit card will take about a week to post to your account. *Please note*: Some stay packages may have stricter cancellation policies, depending on the season or special offer that is booked. Please call or email our reservations office for further information. 

 

CANCELLATION  POLICY: (until 14-Dec-2021). One night cancellation fee will be applied within 24 hours prior to scheduled arrival. Payment made via credit card will be subject to 5% credit card transaction fee per cancellation. 

 

CANCELLATION POLICY: (15-Dec-2021 to 15-Apr-2022). Three nights cancellation fee will be applied within 72 hours prior to scheduled arrival. Payment made via credit card will be subject to 5% credit card transaction fee per cancellation. 

 

CANCELLATION  POLICY: (16-Apr to 14-Dec-2022). One night cancellation fee will be applied within 24 hours prior to scheduled arrival. Payment made via credit card will be subject to 5% credit card transaction fee per cancellation. 

 

NO SHOW & EARLY DEPARTURE POLICIES: In the case of "no show" and no contact with the Hotel to modify or cancel a reservation, the full amount will be charged including all taxes and fees. Early departure reservations are non-refundable.

 

REFUND POLICY:  If you request a refund instead of a reservation change, the refund will be processed in 30 days from the date of cancellation email. Thank you for your understanding and cooperation. 

 

GROUP BOOKINGS: All group reservations are subject to an extended cancellation policy, subject to the specific group size and dates reserved. An agreement of which will be made on confirmation of reservation. 

 

MEAL PACKAGES: Coconut Court Beach Hotel is not an all-inclusive resort. However, we do have outstanding value dining options including Full Breakfast, Half Board, and Full Board meal packages. Guests that book the Half Board or Full Board meal packages will be able to dine-around at Cocos, Jake's and Captain Charlie's. Please note that meal package prices are only valid when purchased in advance (and up to 48 hours after arrival). Guests who book with a tour operator may add on a meal package of their choice directly with the hotel. Prices are per adult and per child (aged 4-12 years) per day, infants are free. Children aged 4-12 years receive reduced meal package rates. Meal packages must be added to all guests on your booking and for the full duration of your stay. Please call us or email us for prices. Taxes and gratuities are not included. 

 

PRODUCT DEVELOPMENT LEVY: An extra 2.5% Product Development Levy will be added to all guest checks at Cocos, Jake's and Captain Charlie's.This levy is also applicable for meal packages and will be added to guest folio account. Supplements and levies are not included in room rates, meal packages or on our hotel restaurant and bar menus. 

 

TOURISM FUND: Please note an optional donation to the Tourism Fund of Barbados will be applied to your account of US$1 per day which allows our guests to "give back" to the island in a direct and meaningful way. This donation is at the discretion of the guest and can be accepted or declined at check out. WIRELESS INTERNET ACCESS: Complimentary WiFi is available in all guest rooms, apartments, cottages, and throughout the hotel public areas. The Deluxe Ocean Front Rooms are equipped with Smart TV’s to stream movies from personal devices. Please ask the Front Desk for login and password information.  

 

GUEST HOSPITALITY ROOM: A free air conditioned hospitality room is provided for guests that would like to shower and get ready for late flights home after check out. Guests are provided with towels and toiletries. Guests that would like to utilize this service are asked to reserve a time slot at the Front Desk. 

 

BEACH TOWELS: Beach towels are provided free of charge to all guests on arrival but are subject to a US$3.00 exchange fee thereafter. Beach towels can be exchanged in the Coco Express shop located in the hotel lobby. *Please note that this fee may change without notice.

 

NEW YEARS EVE DINNER & DANCE: Every year, on December 31st, Coconut Court Beach Hotel hosts a gala event for all in-house guests. All in-house guests are invited to enjoy the evening complete with a sumptuous dinner, complementary drinks, live entertainment and party favours from 7pm until 1am. Free drinks include house wine by the glass, rum punch, beer, assorted house spirits, assorted sodas and juice. Drinks not included are bottled wine, sparkling wine, champagne, cocktails, premium liquors and mineral water. No gratuities are included (at guest discretion) 

 

NO-SMOKING POLICY: Smoking cigarettes, e-cigarettes and vaping is only permitted in limited designated areas. Smoking is not permitted in guest rooms, on balconies and patios or in public areas such as the Cocos, Jake's or Captain Charlie's. Smoking of cigars and pipes are not permitted anywhere on property. This policy aligns with our environmental practices and offers a healthy environment for all of our guests. Any guests found to be smoking in their guest room and/or room balcony will be charged a non-negotiable cleaning fee of US$500. 
 

VALUABLES: We provide an electronic safe in each room for the storage of personal items and all reasonable efforts are made to provide a secure hotel environment. Nevertheless, the risk of theft, damage or loss of our guests’ personal possessions cannot be eliminated entirely. If you travel with valuables, please use the complimentary electronic safe in your guest room. Coconut Court Beach Hotel is not responsible for any lost or stolen items 

 

ACCIDENTS: Guests must report any accident or injury they or their guests may have whilst on the hotel premises immediately to a member of management and in any event, within 24 hours of the incident. This information is needed in order to comply with health and safety obligations and for insurance purposes. 

 

ACCESS TO ROOMS: To provide all of our guests with an exceptionally clean and safe hotel experience, we provide regular housekeeping service. Hotel management reserves the right to enter a room with a known status of "Do Not Disturb" for reasonable purposes, such as an emergency, housekeeping and maintenance, verify that the room, it's furnishings, and mechanical equipement are intact, or to address or prevent a violation of our hotel policy/house rules. 

 

INAPPROPIATE BEHAVIOUR: We kindly ask that you respect our other guests and refrain from any improper, violent or abusive behaviour and any illegal conduct at all times during your stay. We reserve the right to eject you from the hotel premises and cancel the remainder of your stay in the event that you fail to respect this policy. 

 

DAMAGE/THEFT OF HOTEL PROPERTY: We kindly ask that all guests respect Coconut Court Beach Hotel rooms and facilities. In the event that there is any damage to the room(s) during your stay or if any items are missing from your room(s) upon your departure, we reserve the right to charge the card you have used to secure your booking a reasonable fee in respect of such damage and/or missing items. 

 

DAMAGE/TAMPERING WITH FIRE DETECTION SYSTEMS: Coconut Court Beach Hotel reserves the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire fighting equipment will be charged with any costs incurred by the hotel due to their actions and will be evicted from the hotel. The hotel reserves the right to charge the credit card for any damages incurred to guest room(s) or the hotel property. 

 

RIGHT TO REFUSE SERVICE: Coconut Court Beach Hotel is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate Barbados laws. Coconut Court Beach Hotel has a zero tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refused to abide by the reasonable standards and policies established by the owners of the operation and management of Coconut Court Beach Hotel and the by the Barbados Hotel & Tourism Association. The hotel will refuse service or evict a guest: for refusal or failure to pay for accommodationsa nd services, is under the influence of alcohol, drugs, or acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel any substance that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces or threatens harm to hotel proeprty or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by Coconut Court Beach Hotel for the operation and management of our hotel. 

 

WEATHER & TRAVEL DELAYS: In the event of official airline delays or cancellations for whatever reason that might result in guest arrival a day or more later than planned, Coconut Court Beah Hotel will offer a voucher for the value of the nights rate towards an extended or future stay. In the event of an official severe weather system warning issued for the island of Barbados resulting in closed airports or cancelled flights, Coconut Court Beach Hotel will waive the cancellation penalty and provide a voucher for the value of the full deposit paid towards a future stay. All vouchers for future stays are valid for one year from the original booking date. Guests are advised to have comprehensive travel insurance in place for such unexpected circumstances.

 

TRAVEL INSURANCE: We highly recommend all guests protect themselves from losses due to last minute cancellations or no-shows. Barbados has no last minute walk-in business that would allow rooms to be resold so as a small, family owned business we are unable to be flexible with policies. Cancellations, in some cases may incur a 100% penalty. Please read our policy carefully and consider contacting your insurance agent for travel insurance.
